Work logs

Use work logs to time-track learner progress on projects.

By utilizing work logs, learners can log the time spent on tasks for each project they are working om. This allows educators and employers to track the tasks learners have been working on and the number of hours completed throughout the duration of the project.

Main benefits of having your learners use a worklog:

  • Help learners organize their time spent on tasks.

  • Provide transparency into the tasks being worked on, allowing administrators and other team members to see progress in real-time.

  • Serves as a personal documentation tool for learners, recording completed tasks for future reference during project completion or when pursuing new opportunities.

For paid hourly experiences, work log entries are the primary method to indicate hours worked on a project for which invoices are based.

Invoices

This section is for paid hourly experiences only.

If your experience is paid hourly, the learner's work logs will be used to generate invoices as they reach the experience's invoice interval. For example, if the experience is configured to have 10 hour intervals, every 10 hours of work logged will cause an invoice to be generated, with any additional hours being carried forward to the next invoice, up to the maximum number of hours allowed for the project.

Once a work log entry has become a part of an invoice, it can no longer be edited or deleted by the learner.

How to

Enable or disable the learner work log

To enable or disable the work log, follow these steps:

  1. Go to the experience you want to enable or disable the learner work log for.

  2. Click on the experience's “Settings” tab.

  3. Select the “Features” tab under the “Project Management" section.

  4. Go to the “Learner work logs" section. Here you will be able to enable or disable the work log for all learners on the experience.

Work logs are enabled by default on each experience and cannot be disabled for paid hourly experiences.

Set work log instructions

You can set custom instructions for the use of the work log that will be seen by your learners by following these steps:

  1. Go to the experience you want to set custom instructions for.

  2. Click on the experience's “Settings” tab.

  3. Select the “Features” tab under the “Project Management" section.

  4. Ensure work logs are enabled

  5. Fill in the "Instructions for learner work logs" field

  6. Click "Submit" to save

View a work log entry

To view a work log entry for a team in the experience, follow these steps:

  1. Go to the team for your experience and click on the “Work Log” tab.

  2. Click on the work log you want to view

All work log entries are visible to you, learners, and project administrators.

Add a comment to a work log entry

You can add a comment to any work log entry to provide additional context or ask a question about the work performed:

  1. Go to the team for your experience and click on the “Work Log” tab.

  2. Click the work log you want to add a comment to

  3. Fill in and submit the comment form

Best practices

  • Encourage learners to log time entries as they work on tasks or immediately after completing them to ensure accuracy and avoid forgetting details about the work performed.

  • Advise learners to select task names that clearly describe the work performed, avoiding vague or ambiguous terms. For example, instead of "Meeting," use "Team kickoff meeting - Project X Planning".
