Managing applications of learner teams to projects

Experiences you match your project to may be configured so that learners need to apply to your project, where you can then review the application, communicate and meet with the learners, and determine if they are a good fit for your project.

Main benefits of applications:

  • Provides you with choice of learners

  • Allows configuration of application process with custom questions

  • Provides workflows similar to job applications

General

Custom questions

As a project administrator, you can create custom questions for teams of learners as part of their application process. These questions may cover standard topics like providing a resume or availability, but can also include specific background or skill-testing questions if necessary. Learners must answer these custom questions when applying to the project, and both you and the experience administrators will be able to view their responses.

Communication

When an application is submitted, the learners of the team and the project administrators will be placed into a conversation where they can discuss the application, arrange meetings or interviews, and generally address the needs of the project. If the application is accepted, this conversation will continue into the actual project work and serve as a historical record of communication from application submission to the submission of final project deliverables.

One and two-sided acceptance

Experience administrators can set applications to one or two-sided acceptance.

One-sided acceptance means only you the project administrator need to accept the application where as two-sided acceptance requires both you and learners to agree to the application.

States

Applications can be in one of several states:

Description

Pending

Submitted by the team, waiting for acceptance.

Accepted

Accepted allowing team to start and work on project.

Declined

Declined by the project administrators preventing any further action.

Cancelled

Cancelled by the team who has withdrawn the application preventing any further action.

Expired

Application was not actioned and has expired which prevents any further action.

Individual vs group applications

Teams can consist of learners working individually or in groups, depending on the settings defined by the experience administrator. When reviewing a group application, please ensure you are aware of all the learners you will be working with. Individual learners applying to your project may provide additional details, such as their resume and work experience.

How to

Open or close a match to applications

To control whether your matched project is open or closed to team applications, complete the following steps:

  1. Navigate to your project and click the "Matches" tab.

  2. Select the match for which you want to open/close team applications. Note: the project access type must be set to "Applications open" or "Applications closed."

  3. Click on the "Settings" tab within the match.

  4. Under the "Applications settings" section, set "Allow applications to currently be submitted by teams?" to either "Yes" or "No."

  5. Click "Submit" to save your changes.

Set application due dates

To set a team application due date for a match, complete the following steps:

  1. Navigate to your project and click the "Matches" tab.

  2. Select the match for which you want to set an application due date. Note: the project access type must be set to "Applications open" or "Applications closed."

  3. Click on the "Settings" tab within the match.

  4. Under the "Applications settings" section, set a due date.

  5. Click "Submit" to save your changes.

Set custom questions for applications

To set custom questions for team applications, complete the following steps:

  1. Navigate to your project and click the "Matches" tab.

  2. Select the match for which you want to add custom questions. Note: the project access type must be set to "Applications open" or "Applications closed."

  3. Click on the "Settings" tab within the match.

  4. Under the "Application questions" section, enter your questions.

  5. Click "Submit" to save your changes.

View all applications

To view all applications you've received, follow these steps:

  1. Click on "My projects" in the main navigation menu.

  2. Next, navigate to the "Teams" tab.

  3. Then, click on the "Applications" tab. Here, you'll find a list of all the applications you've received from teams.

View all applications for a match

To view all team applications for a match, follow these steps:

  1. Navigate to your project and click the "Matches" tab.

  2. Select the match for which you want to view applications.

  3. Within the match, click on the “Teams” tab.

  4. Then, click on the "Applications" tab. Here, you'll find a list of all the applications you've received from teams for this match.

Accept an application

To accept an application and have the associated team work on the project:

  1. Navigate to the application (view instructions above).

  2. Click the "Accept" button.

Decline an application

To decline an application:

  1. Navigate to the application (view instructions above).

  2. Click the "Decline" button.

Make sure you have communicated with the team prior to declining to ensure they know the reasons why they are being declined.

Best practices

  • Respond promptly to applications to demonstrate respect for applicants' time and interest. If you’re not interested in an applicant, please decline the application so they can search for other opportunities.

  • Clearly communicate next steps, such as interview schedules or project timelines, to manage applicants' expectations.

  • Follow up with all applicants after selections or decisions to provide closure to the application process.

FAQ

What does two-sided acceptance look like to the learner?

Teams will receive an email and platform notification when an employer accepts their application to work on a company project. If two-sided acceptance is enabled on the experience, teams will be prompted to confirm or cancel their application.
