Managing departments on your portal and experiences

Departments are a great way to segment the experiences within your portal into different areas. For example, sharing a portal for a university when several different departments or colleges within the institution are actively creating content. Departments can be used to segment, visually differentiate, and help with reporting of experiences.

Managing departments

Creating a department

To create a department and make it available to be associated with experience, follow these steps:

  1. Click "Settings" under the "Portal" group in the main navigation.

  2. Click the "Portal" tab under the "General" group on the settings page.

  3. Click the "Add department" button

  4. Fill in the form and click "Submit" to save the department.

Editing a department

To edit a department:

  1. Click "Settings" under the "Portal" group in the main navigation.

  2. Click the "Portal" tab under the "General" group on the settings page.

  3. Click the department you wish to delete.

  4. Click the "Edit" button.

  5. Fill in the form and click "Submit" to save the department.

Deleting a department

To delete a department:

  1. Click "Settings" under the "Portal" group in the main navigation.

  2. Click the "Portal" tab under the "General" group on the settings page.

  3. Click the department you wish to delete.

  4. Click the "Delete" button.

Deleting a department will unlink all associated experiences from it.

Tagging experiences with departments

On the "Tags" step of the experience wizard, there is an optional field to tag an experience with a department. Both new and existing experiences can have a department added here.

When a department is tagged on an experience, the experience will show the department avatar and name alongside the portal name.

Changing terminology

If the term "department" does not apply to your portal's usage of Riipen, it can be customized by following the portal customization guide. A portal that is a university may wish to change this to "College" for example, if they have experiences from different colleges at the institution.
