Managing portal access

Portal access is how your portal manages which companies have access to your private marketplace and therefore which companies are able to match their projects with your private experiences.

Main benefits of portal access:

  • Control which companies have direct access to work within your portal

  • Engage with your trusted network of companies directly

You can build your network of companies as you continue to engage with new companies and projects you meet through Riipen's open marketplace, or you can choose to invite your existing network of companies to join you on Riipen directly and instantly get started matching with their projects all in one spot.

General

Portal access & private marketplace

Companies with portal access will be able to visit your portal's custom subdomain and engage directly with your portal.

These companies will only see your portal's custom branding, workflows, and experiences, and will not be exposed to any other institutions on Riipen.

These companies will have the ability to submit projects directly to your portal's private marketplace of projects. You will then be able to browse these projects at any time and match them to your experiences. These projects will not be listed anywhere else on Riipen by default, such as the open marketplace, and will only be made available to your portal.

Using portal access and having companies submit projects directly to your private marketplace is the best way to build your own ecosystem of trusted companies and projects and make them available to your educators and experiences within your portal.

Invites & imports

The easiest way to get start with building your private network of companies is to invite or import your existing network.

Riipen supports both individualized custom invites for bring in companies a handful at a time, or large scale imports which can be used to bring in an unlimited number of companies quickly.

Applications

If you don't have an existing network of companies you want to bring into your portal, you can always meet and vet new companies through the use of the open marketplace and by setting up portal access applications.

Portal access applications allow you to list your portal for companies to find, who can then apply for portal access and be asked any number of custom questions you set in order to determine the best-fit companies that you want to provide access to.

How to

Invite a company and give portal access

You can invite a company to your portal by:

  1. Select "Companies" in the main navigation, under the "Portal" group.

  2. Click the "Invite company" button.

  3. Select "Send direct access to my portal."

  4. Fill in the form as needed.

If you have at least 1 department created for your portal you will be able to invite companies to a department directly.

Once the form is complete, an import will be created and you can monitor the successful progress of your invitations. For more information on importing companies into your portal, please see the full documentation here.

Importing companies

If you have many companies you would like to issue portal access to in bulk, you can use the importing tool directly to important an unlimited number of companies at a time. For more information on importing companies into your portal, please see the full documentation here.

View a portal access invite

Once you have invited a company, you can view the pending invite by following these steps:

  1. Click on "Companies" under the "Portal" group of the main navigation.

  2. Click on the "Invites" tab

Cancel a portal access invite

To cancel a pending portal access invite:

  1. Click on "Companies" under the "Portal" group of the main navigation.

  2. Click on the "Invites" tab

  3. Click the trash icon next to the pending invite you wish to cancel.

Enable portal access applications

If you would like companies to have the ability to apply for portal access and have portal administrators review and accept or decline, you can enable this feature by following these steps:

  1. Click on "Settings" under the "Portal" group in the main navigation.

  2. Click the "Portal access" tab under the "Companies" group.

  3. Check the "Enable portal access applications" option.

  4. Click "Submit "to save your configuration.

Sharing your portal access application link

If your portal has portal access applications enabled, you can provide prospective companies a direct link to your portal to allow them to sign up and request access directly. You can also get this link by following these steps:

  1. Click on "Companies" under the "Portal" group of the main navigation.

  2. Click the "Invite company" button.

  3. Select "Invite organizations to request access"

  4. Copy the provided link.

Configuring custom questions for portal access applications

You can set any number of questions a company must answer while applying for portal access by following these steps:

  1. Click on "Settings" under the "Portal" group in the main navigation.

  2. Click the "Portal access" tab under the "Companies" group.

  3. Check the "Enable portal access application questions" option.

  4. Using the same form, configure different types of questions here that employers will be required to answer when they apply for portal access.

  5. Click "Submit "to save your configuration.

You may apply restrictions to number, short text, and long text question types to ensure your question data is accurate and meets specific parameters. Learn more

All companies applying for portal access will now be presented with these questions as part of their application process.

When editing existing questions, note that any answers already provided to a particular question will still be connected to the question even after it is modified and may appear as improper answers if the question is significantly modified in meaning. If you are heavily editing a question, it is recommended to delete it and create a new question. Deleting a question will not delete any answers already provided to the question. Those answers will still be available when viewing a portal access application.

Disable portal access applications

If you would like to disable companies from having the ability to apply for portal access, follow these steps:

  1. Click on "Settings" under the "Portal" group in the main navigation.

  2. Click the "Portal access" tab under the "Companies" group.

  3. Uncheck the "Enable portal access applications" option.

  4. Click "Submit "to save your configuration.

View a portal access application

To view an application for a portal access:

  1. Click on "Companies" under the "Portal" group of the main navigation

  2. Click on the "Applications" tab

  3. Click the application you wish to view

Accept a portal access application

To accept a portal access application:

  1. Click on "Companies" under the "Portal" group of the main navigation.

  2. Click on the "Applications" tab

  3. Click the application you wish to accept

  4. Click the "Accept" button

The company will be issued a portal access on acceptance.

Decline a portal access application

To decline a portal access application:

  1. Click on "Companies" under the "Portal" group of the main navigation.

  2. Click on the "Applications" tab

  3. Click the application you wish to accept

  4. Click the "Decline" button

Customize portal access acceptance information

When portal access is granted to a company, they will see a confirmation page detailing that they have been awarded portal access, next steps on how to use it, and what it means for them. You can add custom text to this page by following these steps:

  1. Click on "Settings" under the "Portal" group in the main navigation.

  2. Click the "Portal access" tab under the "Companies" group.

  3. Edit the "Portal access next steps" input.

  4. Click "Submit" to save your changes.

Suspending portal access

Suspending portal access will prevent the company from adding any new projects to your portal's marketplace and will remove any existing projects from it.

  1. Click on "Companies" under the "Portal" group of the main navigation.

  2. Click the company you wish to suspend

  3. Click the suspend icon (pause icon).

Re-activating a portal access

If you wish to re-activate a company's portal access:

  1. Click on "Companies" under the "Portal" group of the main navigation.

  2. Click the company you wish to activate

  3. Click the activate icon (play icon).

Revoking portal access

Revoking portal access will delete the company's access, thus preventing the company from adding any new projects to your portal's marketplace and will remove any existing projects from it.

  1. Click on "Companies" under the "Portal" group of the main navigation.

  2. Click the company you wish to delete

  3. Click the revoke icon (trash icon).
