Portal agreement templates allow portal administrators to create a library of reusable agreement templates that experience administrators can browse and add to their own experiences. Instead of recreating the same agreements for every experience, portal administrators can define standard agreements once and make them available across the portal.
Portal administrators can also sync agreements from templates to active experiences, helping ensure required agreements are consistently included across experiences while still allowing educators the flexibility to choose from available templates when setting up their own experiences.

Syncing agreements to experiences
Portal administrators can sync agreements to active experiences via the agreement template. When a template is synced, the agreement is added to all eligible active experiences within the portal. Active experiences are defined as experiences where the end date or end date range has not yet passed.
If a template is edited after it has already been synced, the changes will only apply to the template. To apply those changes to existing agreements on experiences, the template must be synced again.
Edit a template
Editing a template only updates the template itself. Existing agreements that were previously synced to experiences will not automatically update. To apply the latest template changes to those experiences, the template must be synced again.
Archive a template
Archiving removes the template from the portal template library. Archived templates:
Will no longer be available for educators to add to new experiences.
Will not affect agreements that have already been added to experiences.
Can be unarchived at any time.
Delete a template
Portal administrators can delete a template only if it has not been synced to any experiences. Once a template has been synced, it cannot be deleted. Instead, it can be archived.
How To
Create an agreement template
To create an agreement template for your portal:
Navigate to your portal.
Click on Agreement templates in the main navigation.
Click on the Create new button.
Fill out the agreement details.
Click Create.
Sync an agreement to all active portal experiences
To sync an agreement to all active experiences within your portal:
Navigate to Agreement templates.
Select the template you want to sync.
Click the Sync icon.
Confirm the action.
Browse and add an agreement to an experience
Experience administrators can browse available portal agreement templates and add them to their own experiences.
To add an agreement :
Navigate to your experience.
Click on the Settings tab.
Click on Agreements in the Advanced group.
Click Create new.
Select Create from template.
Browse available portal agreement templates.
Select the template you want to use.
Click Create.
The agreement will be added to your experience and can be managed from the Agreements section.
Edit an agreement template
To edit an existing portal agreement template:
Navigate to Agreement templates.
Select the template you want to edit.
Click the Edit button.
Update the agreement details.
Click Save.
Note: Changes made to a template will not automatically update agreements that have already been synced / added to experiences.
Duplicate an agreement template
To duplicate an existing portal agreement template:
Navigate to Agreement templates.
Select the template you want to duplicate.
Click the Duplicate icon.
Update the copied template as needed.
Click Create.
Archive an agreement template
To archive an existing portal agreement template:
Navigate to Agreement templates.
Select the template you want to archive.
Click the Archive icon.

To delete an existing portal agreement template:
Navigate to Agreement templates.
Select the template you want to delete.

FAQs
What is the difference between an agreement template and an experience agreement?
An agreement template is created at the portal level and can be reused across multiple experiences. Portal administrators can either create templates for educators to browse and use, or sync those templates to automatically create agreements on active experiences.
An experience agreement exists within a specific experience and is managed by the experience administrator.
Can educators edit portal agreements added to their experience?
No. Portal agreements added to an experience are view-only for experience administrators. Experience administrators can archive the agreement from their experience if they no longer want it to apply. Archiving the agreement from an experience does not affect the original portal agreement template or agreements on other experiences.
