Work log

A time tracking tool to log time spent on a project.

By utilizing the work log, learners can log the time spent on tasks for each project they are participating in. This enables educators and employers to track the tasks learners have been working on and the number of hours completed throughout the duration of the project.

Main benefits of using a work log to track tasks:

  • Acts as a time management tool, helping learners organize their time spent on tasks.

  • Provides transparency into the tasks being worked on, allowing administrators and other team members to see progress in real-time.

  • Serves as a personal documentation tool, recording completed tasks and achievements for reference at the end of the project or when seeking new opportunities.

For paid hourly projects, work log entries are the primary method to indicate hours worked on the project for which invoices are based.

Invoices

This section is for paid hourly projects only.

If the project you are working on is paid hourly, your work logs will be used to generate invoices as you reach the experience's invoice interval. For example, if the experience is configured to have 10 hour intervals, every 10 hours of work you log will cause an invoice to be generated, with any additional hours being carried forward to the next invoice, up to the maximum number of hours allowed for the project.

Because your work logs form the basis for how and why you will be paid, it is important to:

  • Always keep them up to date

  • Always keep them accurate

  • Always communicate with your project administrators regarding work performed and any questions they have.

Once a work log entry has become a part of an invoice, it can no longer be edited or deleted.

How to

Create a work log entry

To log time spent on a project, follow these steps:

  1. Go to the team for your project and click on the “Work Log” tab.

  2. Click on the “+ Log Work” button in the top right corner of the table.

  3. Fill out the details (Task, Description, Time, Date) and click submit.

Please note that the tasks you log will be visible to the employer, educator, and your team members for that project.

Add a comment to a work log entry

You can add a comment to any work log entry to provide additional context or respond to a project or experience administrator's comment:

  1. Go to the team for your project and click on the “Work Log” tab.

  2. Click the work log you want to add a comment to

  3. Fill in and submit the comment form

Update a work log entry

To update a work log entry, follow these steps:

  1. Navigate to the team for your project and click on the “Work Log” tab.

  2. Click the work log you want to edit

  3. Click the pencil icon

  4. Update any of the details (Task, Description, Time, Date) you previously entered.

  5. Click "Submit."

If your project is paid and hourly, once a work log entry is part of an invoice, you will no longer be able to edit it.

Delete a work log entry

To delete a work log entry, follow these steps:

  1. Navigate to the team for your project and click on the “Work Log” tab.

  2. Click the work log you want to delete

  3. Click the trash icon

If your project is paid and hourly, once a work log entry is part of an invoice, you will no longer be able to delete it.

Best practices

  • Log time entries as you work on tasks or shortly after completing them. This helps ensure accuracy and prevents forgetting details about the work performed.

  • Choose task names that clearly describe the work performed. Avoid vague or ambiguous terms. For example, instead of "Meeting," use "Team kickoff meeting - Project X Planning".

  • Provide additional context or details in the task description if necessary. This could include information about the specific actions taken, outcomes achieved, or any challenges faced during the task.

  • Log the time spent on each task accurately. Be honest and realistic about the time taken to complete the task.

  • If a project or experience administrator comments on your work log entry, always respond to the comment to clarify any questions they might have.
