Managing matched experiences for a project

Once you have an accepted match request between your project and an experience, a match is formed. It represents that you and the experience administrators have agreed to work together, and that learners will be able to work on your project.

A project may match with many experiences.

General

Match management

After a match has been formed, you may wish to adjust information about it to better suit your needs where applicable including adjusting start and end dates, milestones, or when learners can apply to the project setting whether or not applications are open or closed.

Date changes for Employers

We understand that flexibility is important when hosting projects. Unforeseen circumstances or changes in priorities may necessitate adjusting the timeline for a match or a specific team. If you find yourself in a situation where you need to change a date for one of your matches or a specific team, you can request a date change.

Please note that you may only request a date change if the dates were set by the match or the team. You will not be able to request a date change if the dates were set by the experience.

Feedback

You will be prompted to provide feedback to the experience administrators at the end of any matched project. After the end date, you will have 10 days to issue feedback to the experience administrators, and they will do the same, providing feedback to you. This is your chance to tell them how they interacted with you during the course of the project and matchmaking process.. You'll be able to rate them on their communication, professionalism, and more. The experience administrators will not be able to view the feedback you provide until they have also provided you with their own feedback or until the 10 days have passed.

These pieces of feedback are displayed publicly on the experience administrators profile pages so that they can build trust and demonstrate that they are good participants when it comes to running projects with learners.

How to

View a matched experience

To view any matched experience for your project:

  1. Navigate to your project

  2. Click the "Matches" tab

  3. Click on the matched experience you want to view

View teams

To view all teams on a particular matched project:

  1. Navigate to the match.

  2. Click on the "Teams" tab

From here you can click into any team to see their full progress and any deliverables they have submitted.

View all applications

If the experience requires teams to apply to work on projects, you will be able to view all applications submitted to a particular matched project by following these steps:

  1. Navigate to the match

  2. Click on the "Teams" tab

  3. Click on the "Applications" tab

From here you can click into any application to see its details including the learners on the application and any questions they answered during the application process. Accept or decline the application at your earliest convenience.

Request a date change for a match

To initiate a date change request for a match, follow these steps:

  1. Navigate to the match for which you want to request a date change.

  2. Click on the “Settings” tab, then select the “Timeline” tab.

  3. Click the “Request date change” button and enter the new dates.

  4. Click “Submit”. Your request will now be reviewed by the experience administrators, who may choose to accept or decline these date changes.

Request a date change for a team

To initiate a date change request for a team, follow these steps:

  1. Navigate to the team for which you want to request a date change.

  2. Click on the “Settings” tab, then select the “Timeline” tab.

  3. Click the “Request date change” button and enter the new dates.

  4. Click “Submit”. Your request will now be reviewed by the team, who may choose to accept or decline these date changes.

Accept or decline a date change request

To respond to a date change request from a match or team, follow these steps:

  1. You will receive an email and platform notification if an experience administrator or team has requested to change the dates on a match or team.

  2. Click on the “Respond” button in the email or the platform notification.

  3. Review the request, ensuring that the proposed dates work for you.

  4. Accept or decline the request.

Best Practices

  • Always ensure dates on matched projects are accurate as teams of learners will receive automated messaging and prompts to complete specific activities based on them.

FAQ

Why isn't my feedback showing up on the educator's profile?

All feedback provided is meant to be blind feedback until all parties have had a chance to provide it. Once a project ends, you have 10 days to provide your feedback to the experience administrators, and just the same, they have 10 days to provide you with feedback as well. Only after both parties have submitted feedback, or the 10 days has expired will feedback actually be shared with the receiving party and displayed publicly on profiles.

Can I request a date change if the experience set the dates?

If the dates are set by the experience, please contact the experience administrator regarding any concerns about timelines.
